 Responsibilities for this Position

  • PURPOSE OF POSITION:
  • Assist in day to day operations and administration of the Reservations office.
  • This includes monitoring standard of performance for all RSA functions, participating in new hire and on-going training, assisting in the administration of electronic marketing and overseeing the group rooms & pre-arrivals coordination process.
  • Oversees the entire Reservations office in the absence of the Director of Reservations/Revenue.
  • ESSENTIAL FUNCTIONS:
  • 1. Assist in overseeing the group rooms and pre-arrivals coordination process. Support the GRC’s and the GAC as the need arises. Monitor their scheduling and productivity.
  • 2. Oversee the coordination of new hire training, on-going training and monitoring of all staff, in order to ensure standards are being met. Follow up with reinforcement of sales techniques. Assist in developing the department’s annual training plan and implement weekly/monthly activities to support this plan.
  • 3. Assist in the electronic marketing effort by assuming responsibility for yielding and inventory management of designated web sites. Provide support in managing GDS and Synxis inventory, as well as loading and maintaining rates and information in the SynXis system.
  • 4. Back up the staff in handling incoming reservations calls as needed.
  • 5. Interface with the Director of Reservations/Revenue in communicating yield strategy changes to the RSA’s. Oversee the processing of all electronic and fax reservations. Monitor procedures for entering and filing these requests.
  • 6. Assist in monitoring the ACD system to ensure service levels and abandonment ratios are at standard. Help to monitor and oversee the department remotely during nights, weekends and holidays.
  • 7. Oversee the completion of daily and monthly reports reflective of reservations activity, call conversion, and call abandonment.
  • 8. Develop and promote RSA monthly incentives. Base these on areas where performance improvement is needed.
  • 9. Administer the attendance policy. Conduct coaching and counseling as it is appropriate to do so. Participate in team member evaluations and progressive discipline.
  • 10. Receive and handle department-related guest complaints and ensure corrective action is taken.
  • 11. Oversee all catering contracts involving rooms not contracted, to ensure they are properly managed.
  • 12. Ensure accuracy of all details for reservations entered into the Springer Miller system by establishing and overseeing checks and balances. Interface with Accounting on all billing and commission issues.
  • 13. Assumes Group Rooms Coordinator responsibilities, when business dictates, ensuring management of group files by following the GRC Checklist.
  • 14. Oversee the communication process from RSA’s to GSA’s to be sure the Front Desk, (and our guests), are set up for success. Ensure that special requests are handled appropriately and in a consistent manner.
  • 15. Oversee the completion of “call arounds” to our competitive hotels as needed to help ensure accurate rate- positioning and opportunities in our market.
  • 16. Oversee the fulfillment process and ensure high quality service levels.
  • 17. Participate in the interview process for all RSA’s prior to hiring.
  • OTHER:
  • Achieve a monthly conversion (sales) on a team basis of 45% or higher.
  • Performance reviews must average a score of 3.5% or higher
  • Maintain all pertinent documents on file within the reservation center.
  • Ensure all reservations coding is input correctly.
  • Set the department standard with impeccable attendance practices.
  • SUPPORTIVE FUNCTIONS:
  • In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the resort.

  • QUALIFICATION STANDARDS:
  • EDUCATION: High School Diploma or GED
  • EXPERIENCE: Prior customer service experience
  • APPEARANCE: Highly professional appearance, ability to maintain a neat, clean and well-groomed appearance. Specific standards are available.
